Calm beats aggressive

Unpaid invoice emails fail for two opposite reasons: they sound apologetic, so the client learns that late payment is acceptable, or they sound hostile, so the relationship ends. The templates aim for neutral and factual — the amount, the due date, the agreed terms.

Neutral wording works because it removes emotion from the exchange. You are not asking for a favour; you are confirming an obligation that both parties already accepted.

Escalation should be incremental

The templates assume a sequence: a reminder, a firmer reminder that references the terms, and finally a notice about pausing work. Skipping straight to the last step gives away your strongest card before you needed it.

The same structure applies to new scope requests. State what was requested, what it adds, what it costs and what it delays — then let the client choose, in writing.
